Keep judges while requiring reactivation

Question: Is there a way to reset for the new year without deleting judges’ accounts, while still requiring returning judges to reactivate?

Answer: Yes.

When clearing your fair, open the gray i in the bottom-right, then search and open Refresh/Archive Your Event. On the second page of the flow, choose which users to remove — you can turn off removing judges:


The next step asks if you want to reset remaining accounts to first-time login — choose Yes so judges review their account info on next login.


Then go to Staff → All Settings, search Planning to Participate, and set Judge Registration - Ask if they are planning to participate as required. That forces an answer so you can see who plans to return. Optionally create an auto tag for “yes” responses, or review the Judge’s Detail report.


Archiving FAQs

When can we archive?

July 1st is when the system takes a snapshot of your data reports. Wait until July 2nd to archive so those reports are not affected. Reports can take a couple of weeks to load into your site; you can still refresh after July 1st without worry.

Can people register before I refresh?

We always advise refreshing before new registrations. The setting Archive Before Date removes participants and other selected user accounts created before a date you choose. Pick a date before the first new account (sort People by “Newest”). This setting is in the Refresh/Archiving branch — research the date before you start.

Can I select which accounts to keep?

You can keep all accounts of a user type except participants. Participant accounts and scores are always fully removed during archiving (unless using Archive Before Date).

You cannot pick individual accounts to keep during archive. Manually delete unwanted accounts from the People page instead. If you must keep some of a type, turn off archiving for that type and delete the rest manually. You can also temporarily change roles of users you need to keep, then change them back after archive.

If I archive by mistake, can accounts come back?

No. Once archive/refresh is processed, those accounts are gone. Read carefully before confirming. You are shown a warning — cancel there if unsure.

Can I force users to review their profile?

Yes. In the “Reset accounts to first time login” section of the refresh branch, choose Yes.
