13:43:43 From Michael : Thank you everyone for coming. We'll be starting the meeting here shortly.
13:43:56 From Michael : In roughly 15 minutes
14:08:49 From CKAUFFMAN : What if you want to set your own categories for judging?
14:09:06 From Sheila Butcher-Scott : How can we change categories?
14:09:20 From Jordan Krell : Is it possible to make a template file that can be downloaded for the Loading Judging Assignments option. (big fan of the feature!!)
14:09:22 From CKAUFFMAN : yes?
14:09:31 From Mark Fontaine : how do Negative assesment questions work
14:09:36 From Jody Oostema : When we enter the scores for judges, the system weights them in a way I don't like. Can you remove the weighting and see the raw scores?
14:09:39 From Trent Liscomb : You can change categories by going to staff -> Fair setup -> categories
14:09:53 From wyomingstatesciencefair : How are folks handling special award judging?
14:10:06 From Patti Carothers 1 California : How do we set up a situation that will not allow a judge with a conflict to judge in the conflict category or projects?
14:10:14 From shiojia : Can you set more than 1 rubric as default? Or assign an engineering rubric to an engineering project and an experimental rubric for an experimental project?
14:10:26 From shiojia : Is there a way to pre-schedule a time for judging by category, so for example, all the animal sciences projects must be present from 10am to 11am, etc? Should we use rounds for this? If so, how do we assign all projects from a particular category to a round?
14:10:27 From Daniel Rojas : Rubric scoring has been reviewed and it's working and scoring properly!
14:12:16 From Patti Carothers 1 California : How can we set up judging so that a judge is required to select 1 or 2 categories they prefer to judge?
14:12:19 From shiojia : If teachers are also serving as judges, is there a way to make sure they aren’t assigned to judge their own student, or does this have to be handled manually on the day of the fair?
14:13:03 From Timara Underbakke MN : where do we find the wiki?
14:13:07 From Lisa Curtis : How are Judging Sessions (set up in Fair Setup) different than Judging Rounds (set up in Judging Setup). And how are these different than Judging Circles?
14:13:15 From Rob : How can I have a project judged and scored by special project judges and category judges separately?
14:13:22 From Susanne Kraus : Can you add a rubric you've already made. Attach a document?
14:13:23 From CKAUFFMAN : Also can the consensus process be manual?
14:13:27 From Preston McCleve : Wiki can be found at WIki.zfairs.com
14:13:38 From Daniel Rojas : Wiki page: https://wiki.zfairs.com/index.php?title=Main_Page
14:14:04 From CKAUFFMAN : Yes, can you add a rubric you're already made instead of editing?
14:14:20 From CKAUFFMAN : So you can change the weight, right?
14:14:23 From Valerie Holmes : Do we have to assign a range or yes/no to every descriptor we add to assessments on the rubric?
14:14:57 From CKAUFFMAN : You are going fast to follow
14:15:36 From CKAUFFMAN : Why are we not setting these sessions up in order of how to set up, etc.?
14:16:12 From Susanne Kraus : Is there a way for students to add a video?
14:16:15 From Nancy H - CO : The recording of the session helps so you can review any parts you missed or didn't follow.
14:16:39 From Michele's iPhone : How do teams present together if they are not in the same household or at the same location? How does that work on a technical level?
14:16:45 From Daniel Rojas : This meeting will be recorded, I can forward it to you for review.
14:17:10 From Miguel Aznar : Thanks for allowing CSV downloads of judge assignments. We used Google Sheets last year alongside ZFairs. While parallel systems were awkward, spreadsheets gave Captains an overview of assignments plus times each judge planned to interview each project (revealing conflicts), and scores (supporting discussion to assign final ranking). ZFairs offers a lot, but there’s still much of this we would rely on a spreadsheet for. We’d love to have it all on ZFairs so we don’t have to keep migrating data from ZFairs to spreadsheet. Mistakes would be easy. How close to a spreadsheet (or something better) can ZFairs get?
14:17:15 From CKAUFFMAN : How do teams present together if they are not in the same household or at the same location? How does that work on a technical level?
14:17:43 From CYNTHIA LETCHER : How do you have students upload a video?
14:18:04 From Jordan Krell : Are there built in requirements for minimum number of scores to calculate a zscore?
14:18:12 From Daniel Rojas : Nancy, for student's entering videos is a different topic, you can call me and I can show you how to.
14:18:27 From Nancy H - CO : We are having special awards judges just judge from the showcase and not do interviews
14:18:27 From Robin Groch : why did you use a z-score as your stat
14:18:44 From Timara Underbakke MN : we were thinking of letting special award judges drift in and out of score judging rooms. Does this work?
14:19:41 From Sheila Weahkee : how do you "assign" judges to categories, as opposed to self selection by judges in profile
14:20:55 From Gary : can subcategories be scored and not categories?
14:22:07 From Trent Liscomb : we were thinking of letting special award judges drift in and out of score judging rooms. Does this work?
Yes
14:22:30 From Mark Fontaine : can we make questions in a rubric visible only for team projects
14:22:33 From Patti Carothers 1 California : If we already have students that have registered and they were not provided with a selection for "my project is science or my project is engineering how can we retroactively take care of this?
14:23:45 From Nancy H - CO : Is there an overview screen so the head judge can monitor how the rounds are progressing?
14:23:50 From Miguel Aznar : Will this Chat log be saved and accessible with the recorded video? Some answers are typed here and not verbalized on the recording.
14:24:24 From Michael : wiki.zfairs.com
14:25:58 From Patti Carothers 1 California : How do we set up the conference time for judges to collaborate after a round?
14:28:24 From Patti Carothers 1 California : If students have registered and already self selected being judged for a particular special award but we don't feel that project fits that special award can we delete the student from that special award so we don't waste the judges time?
14:29:12 From Dr. Therese Ellender : We are having pre-recorded video submitted.. currently the only way we see to add video is through a link, is this accurate?
14:30:33 From Patti Carothers 1 California to Michael(Direct Message) : We need a full on training on how to set up the public time/award screens
14:30:37 From Mark Fontaine : is their a limit to the length of the video
14:30:51 From Patti Carothers 1 California to Michael(Direct Message) : Yes we want access to the videos
14:31:10 From Susanne Kraus : Mass State Fairs requires it to be under 5 minutes.
14:31:39 From Patti Carothers 1 California to Michael(Direct Message) : How many judges can join a student in their room?
14:31:39 From MaryEileen : If anyone wants a combined rubric for science research / engineering design to make live easier, Terra has a well-vetted one. If you use it, please cite TerraFairs as the source. https://drive.google.com/file/d/1hIUfg089_3mdUcoSo_raS8IMAlWrS91W/view?usp=sharing
14:31:52 From Dr. Therese Ellender : we are doing 3-5 minutes
14:31:55 From Tim-Michigan : same for Michigan and Detroit - 5 min or less. Enforced by D&S 2 days before judging if over 5 min it is rejected
14:32:32 From Daniel Rojas : For videos, I will forward you that information by email, since it's a different topic.
14:37:14 From MaryEileen : Question: We have thought about having our fair judges be "stationary" and the students enter the room for their assigned times. Our special awards judges we thought might be roaming. Anyone have experience?
14:37:29 From Elizabeth Kronberg : Can you see all three scoring including zscores or do you have to set it for just one
14:37:34 From Sheila Weahkee : … so we are overwriting their judging preference?
14:38:29 From CKAUFFMAN : We have grade level categories but Can you judge in subcategories - Science Investigation, Engineering design or Data Science
14:38:38 From Lisa Curtis : What is the maximum number of participants that one virtual interview room can handle?
14:38:53 From shiojia : How do you do an email blast to students?
14:40:08 From Anna Cotton : I am sorry i am so late are schools using Zfair for their own fairs? not just regional?
14:40:16 From Daniel Rojas : Shiojia, I will send you an email about that, as it is a different topic.
14:40:30 From Anna Cotton : so all kids would need to register on zfair
14:40:32 From Anna Cotton : ?
14:40:55 From Daniel Rojas : Yes, all student will need to open an account!
14:41:06 From Anna Cotton : ok
14:41:31 From Anna Cotton : can judges interview without other adults present?
14:42:23 From MaryEileen : NYC is doing 2-min videos
14:43:20 From Susan Schmidt : Is there a way to duplicate a rubric?
14:43:33 From Harold Clark : Is there a way to pair judges and then schedule students to see the pairs of judges?
14:43:38 From Patti Carothers 1 California : Special award has an option for students to self nominate to be judged for a particular award. If we've checked and a student has selected to be judged for instance for a water award and the project has absolutely nothing to do with water - we want to know if admin can unselect that student from being judged for that water award?
14:45:17 From Lisa Curtis : We will have one judge plus one adult volunteer in each interview room. What is the best way to assign the registered adult volunteers to the interview rooms?
14:45:42 From Valerie Holmes : Can we toggle off the student project info in the judging tab so that judges aren’t able to see the project info and or abstract?
14:46:05 From CKAUFFMAN : So you give students and judges the link to our Z-Fair site and they can register from there?
14:46:28 From Michele's iPhone : We will require a minimum of 2 judges. what happens if 1 judge leaves? is student left with 1 judge?
14:47:38 From Timara Underbakke MN : Can admin alter the student record? (such as change the self nomination or edit the student's info)
14:48:10 From Sheila Weahkee : timara - yea, but then kiddo can change it back:)
14:48:39 From CKAUFFMAN : can self nomination not be an option?
14:49:21 From Patti Carothers 1 California : Video gate? Where what is that? We found a check box to not allow a student to be alone with a judge. We did that
14:49:39 From Elizabeth Kronberg : I missed what happens when one judge leaves
14:49:53 From Miguel Aznar : Wouldn’t it be easier to ignore Self Nominations than to create a way to disable it?
14:49:57 From Elizabeth Kronberg : Thank you
14:50:14 From Jody Oostema : Do we need to request this recording or will it automatically be sent out to everyone?
14:50:41 From CKAUFFMAN : How do we get the schedule and links?
14:50:49 From Patti Carothers 1 California : Will the chat also be sent
14:50:51 From Stacie Arancibia : What is the new notices system?
14:50:55 From CKAUFFMAN : You will send.. got it.
14:51:03 From Elizabeth Kronberg : is letting a monitor in the judge room (not a judge) a new feature?
14:51:33 From Rob : Is there an easy way to assign all projects in a category to a judge(s)?
14:52:39 From Tim-Michigan : kudos for the notification center.!!
14:53:05 From Valerie Holmes : Thank you so much!
14:53:09 From Patti Carothers 1 California : Can a monitor register as a judge but WE know they are simply a monitor and therefore attend a judging session?
14:53:50 From Patti Carothers 1 California : Thank you. Mice meeting Michael
14:53:53 From Elizabeth Kronberg : Thank you
14:53:55 From Karissa Goff(she/her) : Thank you!
14:53:58 From Yvette Santana-Taveras : thank you!
14:53:59 From Harold Clark : Thank you
14:54:06 From MaryEileen : Thank you.
14:54:10 From Timara Underbakke MN : Thank you much!
14:54:13 From Michele's iPhone : thank you!
