NOTE: Some of the questions towards the end we didn't get a chance to answer. Answers for those have been included below. Let us know if you have any further questions about this topic. Thank you.
13:39:10 From Michael : Welcome. We'll go ahead and start our meeting here in about 20 minutes.
13:50:01 From Michael : Welcome everyone. We'll start the meeting in 10 minutes. Thank you for joining us.
14:00:34 From Lisa : I don't see your visual
14:01:14 From Lisa : k...I see it. thx
14:02:31 From CYNTHIA LETCHER : Is the web page URL the zfair one?
14:03:54 From Jeremy Blinn : How will others from outside my school district see the public display that you can schedule?
14:04:53 From Jeremy Blinn : I need that OK
14:05:09 From CKAUFFMAN : If we have all one fair, can showcases be separated by schools?
14:05:40 From Lisa : might be appropriate to have students post picture of their project... not of themselves?
14:06:05 From Patti Carothers 1 California : Can we organize the showcase by Middle school and high school. Are there any banners or something else to indicate the winning place?
14:06:10 From Nancy H - CO : We don't have students post a profile picture at all
14:06:11 From Jeremy Blinn : I am trying to be an outsider right now and it asks me for a showcase key to see showcase?
14:06:34 From Timara Underbakke MN : What is the best way to indicate which projects are middle school and which are high school
14:06:39 From Shaun Martineau : I have 2 fairs (separated by Elementary & Secondary) will each page have their own showcase?
14:07:09 From Ann Shioji : Media release: we have our own Permission Slip (fillable pdf and word doc), but when I enter it in Media Release, it reformats, and when I add it to Paperwork, it only allows 1 upload/team. Best workaround so far: add link in Media Release, but anything else?
14:07:29 From CKAUFFMAN : please repeat that
14:07:38 From Pat Miller : Could we save the questions until the end of the session? Otherwise, we are jumping around and it’s not very helpful.
14:07:58 From Patti Carothers 1 California : We use MS and HS
14:08:04 From Lisa : they can enter the grade in their title
14:08:45 From Sheila Weahkee : we ended up making separate category for each division/category combo, so kids shave to elect junior animal science OR high school animal....
14:08:48 From Ashley Fulmer : You can set up the Divisions by grade level.
14:09:38 From Trent Liscomb : A division is a group of grades. IE 6-8th grade.
14:10:03 From Patti Carothers 1 California : Remember to save at the bottom. as a newbie I learned the hard way
14:10:53 From MaryEileen : When will this be posted for us to access the recording?
14:15:09 From CKAUFFMAN : Id format? Product range?
14:17:42 From Shaun Martineau : So instead of 2 separate pages for a Elementary and Secondary fairs, I could’ve just selected Fair Division?
14:18:54 From Lisa : I'd recommend going to other fair pages to see what info they put on their home fair pages.. it's helpful
14:22:56 From Lisa : can we see what it looks like when judges use the site?
14:28:46 From Michele Zielinski : I don't see the "showcase" feature under fair tab. Is there something I need to do in setup. I'd like some more info on showcase- how does that work? Is it video files that are uploaded or live?
14:28:59 From Nancy H - CO : Is there a way for students and judges to test to be sure they have a strong enough internet connection before the actual fair date?
14:30:06 From Sheila Weahkee : can you upload students in bulk from spreadsheet?
14:30:13 From Patti Carothers 1 California : You should go over partially registered...kids and judges just kind of get stuck and stop... You can copy this list and then copy the line item - send it to an individual student and tell them to click the blue continue to finish registering
14:32:57 From Patti Carothers 1 California : I copy and paste the word continue and send it to the student email
14:35:27 From Claudia Borjas : How do I enable the ability for students to upload a pdf and/or Word file?
14:35:51 From Patti Carothers 1 California : Are you going over the internal email system to students, teachers, staff etc? That is something good to know. Our SRC/IRB uses it when they are reviewing paperwork and it is less than perfect.
14:38:14 From Patti Carothers 1 California : Where and how do we set up special award judges? Out of 50 special awards they have their own rubrics. That's a lot of rubrics to input
14:39:48 From Wynona : Rubrics must be manually inputted?
14:40:49 From Patti Carothers 1 California : Can you make special awards judging its own division - but so it does not mix with the category judging points for the students?
14:41:56 From Lisa : instead of just reading everything... could you please walk through the process of what a judge would go through? how a student uploads their slides, etc?
14:41:59 From Timara Underbakke MN : yes- need to know how we can assign special awards judges (only) versus scoring normal judges
14:42:05 From Kimberly Dedini : Can only admin drop in on interviews? Or can staff?
14:42:28 From Michele Zielinski : Can you tell if you don't have 2 judges in a room from the "PROJECTS" view? (Our min is 2 judges)
14:43:14 From Nancy H - CO : Is there a video or screen shot of what students see when being judged? Will students be able to see their display while being judged?
14:44:48 From Nancy H - CO : The directory sorts teachers by schools and the People tab doesn't - it would be nice to keep that option
14:45:44 From Patti Carothers 1 California : Okay but how can the special award judges see the abstrtacts and videos but not interview. Don't they need to register to do that?
14:48:13 From CYNTHIA LETCHER : Where exactly will a student upload a video as part of their project information (not paperwork)?
14:48:50 From Ashley Fulmer : What should we do if a student’s file is too large (file size) to upload in the images section? Student’s pdf of digital board is too large, but the image doesn’t allow you to zoom in like the pdf.
14:49:36 From Timara Underbakke MN : Can we customize how we number our projects? Or is it only by category-number
  • There are a good variety of options in the Staff -> Fair Setup -> Settings -> Fair Features & Settings -> Project/Entry -> Project ID Format dropdown list.
In addition to that you can specify an offset category number when setting up each category and the number of digits you would like shown next to the above dropdown.
14:50:21 From Ashley Fulmer : Can we request to promote to more than one fair?
  • Yes you can. Each of the fairs you are requesting to promote to would need to approve your link individually. See Promotion Linking for additional information.
14:50:40 From CKAUFFMAN : Do the future Z-Fair trainings use this same zoom link?
  • Yes they do.
14:52:10 From Jordan Krell : Do the sessions from the Judging Sessions Manager tie into the Judging Rounds?
  • These don't link together except where the session can be used when auto assigning judges for a given round
14:55:37 From Mark Fontaine : at the conclusion of the event how can people in the public access the showcase
  • They will still have access to view it by navigating to your zFair site and going to the Fair dropdown and selecting Showcase
14:55:55 From Lisa : can you show where we upload the rubric please?
  • There is no where to upload a rubric. It will need manually entered on your zFair site
14:56:43 From Nancy H - CO : Patti - There is an option to sign student forms, but it is an electronic signature and the date is ALWAYS the date you are signing, so it may not be as useful
