This page documents the Reports instructional flow in the zFairs setup assistant.

Overview

zFairs has a robust Report Viewer that allows you to run all sorts of data reports, and then export them as an Excel spreadsheet or a PDF. To access the Report Viewer, click on the Staff drop-down menu at the top of the page, and then click "Report Viewer". If you have used zFairs for previous events, you can also view reports from those events by clicking on the [Year] Contest Report Viewer options at the bottom of the Staff drop-down menu.

Once you have the Report Viewer open, skins give you the ability to customize reports after you generate them. You are able to sort columns, remove unwanted columns, or filter based on information in the report. To learn more about skins, click the button below! You can also click "Common Reports" button to see frequently used reports along with a description of what they show.

Here is a list of some common reports that many find helpful! If you have any other questions about reports, please reach out to us at Support@zfairs.com.

  • "Details" Reports (Student Details Full, Judge's Detail, Detail - Teacher, Detail - Attendee, Detail - Volunteer): These reports will show everyone who has registered for an account in each role, along with all of the information they provided during registration.
  • Online Judging Score Totals: This report provides an easy way to see score totals from judging at a glance.
  • Table Label: Print out labels to go on the table with the Participant's Name, Project ID, and Category.
  • Project Abstract Generate a pdf with each project's abstract on it's own page. Note: This will only show Abstracts that were entered in the "Project Abstract" field on the Entry tab of a Participant's profile, it will NOT show any Abstracts that were uploaded through paperwork.
  • Full Awards Program After you have assigned all of your awards within zFairs, this report will show all of the awards that were assigned, and who received them.


2. Skins

Skins

Skins allow you to create different versions of the same report. You can hide columns you don't want to see, re-order the columns, change the name of columns, choose a column to sort the report by, and add filters to only show specific data in the report. To create a skin, follow these steps:

  • Open the Report Viewer and run the report you want to see.
  • Click on the palette icon in the top-right next to the star.
  • Click "+ New Skin"
  • Enter a name for the Skin

Here is a description of what each of the columns mean when creating a skin:

  • Visible: To hide a column, uncheck the box next to the column you would like to hide on the report
  • Display Name: Changing this name will change the header of the column on the report
  • Order: This will change the order of the columns on the report. The column with the lowest number will show furthest to the left, and the highest will show furthest to the right.
  • Sort: This allows you to sort the entire report by a specific column. To sort by a column, choose either "Asc" or "Desc" in the sort column.
  • Sort Order: If you want to sort by multiple columns, you can decide which the order of columns it will sort by. For example, if you want to sort a report by school first, then by last name within the school, you would set the "School" column with sort order "1", then the "Last Name" column with sort order "2"

After you have made those changes, you can filter the report by a specific column by scrolling to the bottom of the page, and clicking "Add Filter". Add the parameters for the filter, and the report will only show lines that meet the requirements you set.

Save the skin, and you are ready to go! The next time you run the report, it will add a tab for the skin that you created.
