Special User Roles — instructional guide from the zFairs setup assistant.

Overview

The following are Special User Roles and can typically be assigned to any Volunteer, Judge or Teacher user but in most cases we recommend that the Volunteer user be used in conjuncton with these Special Roles. They operate different from regular roles in that any one user can have more than one of these roles at any one time (as you deem appropriate) and users cannot register as these roles when they start out as each must be assigned to them by a Staff or Admin user.


Steps

1. District Coordinator

District Coordinators have access to all participants from their assigned district, similar to what they would see if they were the participant's Teacher user.

District Coordinators can also, optionally, be Teachers and enabling this gives them additional access to participants who have selected them as their teacher even if the participants are outside the District Coordinator's district.

This special role is different from the other special roles in that it is a fully separate User Role that is assigned on the People page with the Change Role option (Click on the applicable user's icon and select change role) and not via another method.

3. Interpreter

The Inperpreter special user role gives the user access to the Proctor & Interpreter Waiting Room page (where they can see requests for assistance), an optional Waiting Room video conference room and additional meeting controls when inside of an interview room with Participants and/or Judges. Interpreters can also specify the language(s) they are translating for during the event.

To give someone the Interpreter special user role, have that person register as a volunteer, judge or teacher. Then you as a Staff or Admin user can go to the People page, locate their user and click on their icon, select Edit / View User and navigate to the Special User Roles sub-tab. Check the box for Is Interpreter and click save.

Once a user is marked as an Interpreter, a Staff / Admin user or they themselves can pull up their profile (People Page, click on icon, Edit / View User or, for the user themselves, they just click on their name in the top right and select My Profile) and select their Primary Language. In the case of Interpreters, this is the language for which they are interpreting for the event.

5. Judge Captain

Judge Captains have access to additional oversight tools for the category or judge circle they are over. They can also be given access to see Other Judge Scores within their category as well as assign category awards for their category.

To assign someone to be a Judge Captain, have them register as a Judge and then a Staff or Admin user needs to do one of the following:

  • For Regular Judging
  • Navigate to Judging -> Category Chairs / Captains
  • For one or more of the Categories listed, click Add Captain
  • Assing the Captain and Division as Appropriate
  • Click Save
  • For Circle Judging
  • Navigate to Judging -> Circle Setup & Management
  • Navigate to Judge Groups
  • Edit or Create a Judging Group
  • Assign the Captain to the First Position in the Judge Group

Assigned Judge Captains will see their menu change to show Judging as a drop down instead of a single click Go to Online Judging. In that drop down they will find the additional tools you have enabled for them to view.

9. Proctor / Moderator

11. Special Award Judge

Special Award Judges have the ability to access Special Awards Judge Scheduling where they can indicate available times for Participants to select from or request interviews with Participants during their unscheduled times in a given Event Session.

To give someone the Special Award Judge special user role, have that person register as a volunteer. Then you, as a Staff or Admin user, can go to the People page, locate their user, click on their icon, select Edit / View User and navigate to the Special User Roles sub-tab. Check the box for Is Special Awards Judge and click save.

NOTE: Special Award Judge Organizations can only currently be associated with a Special Awards Judge when using the Staff -> Import Data -> Other Users page to import and create the Special Award Judges. This functionality will be added for non-imported Special Award Judges in the future.

13. SRC/IRB Setup

The SRC / IRB special user role gives the user access to the Paperwork Review process and the ability to see, review, reject or approve Participant paperwork and forms as well as potentially being able to mark Entries as Ready for Review or Approved for Judging.

To give someone the SRC / IRB special user role, have that person register as a volunteer, judge or teacher. Then you, as a Staff or Admin user, can go to the Paperwork -> Setup SRC / IRB Members page (you can aslo click the button below to open this page in a new tab), click Add Member for the relevant Board or Committee, select their name from the Drop Down list and check the boxes for any other information about this individual as applicable.
