Guided Review - Judging — instructional guide from the zFairs setup assistant.
Overview
Welcome to the zFairs Guided Review for Judging
This should go pretty quick and will give you the option to set up judging for your event by just answering some questions as we ask them. The goal is to make it so you never need to look at another judging config again and we can just run through this quick conversation any time you need to adjust things. Let us know what you think and don't hold back on the good, the bad or the ugly. Please send all feedback via email to Support@zfairs.com. Thank you.
Things to Know Before You Start When selecting the Most True statement be sure to read them all before making a selection.
We'll try to provide context in all cases so you are informed about the decisions you are making. Check the small text for additional information and details.
Please Be Aware, as you answer Yes or No we will be making changes to your site and adjusting settings to match what you are telling us. The only options that are guaranteed to never change anything are Exit and Skip. You can always come back and re-adjust at any time but we want you to be fully aware of what is going on as you continue through this Guided Review.

Final Warning!
This will turn off All Judging Setting for your event, with the exception of Judging itself, and walk you through setting by setting so you can decide if that setting is something you want turned on or off. This is never recommended but should only be used by advanced users who are very familiar with zFairs and have a specific setup they are trying to imitate.

Auto Plop Enabled
Auto Plop is a new way to handle judging tailored to virtual events. You set it up and then when Judges and Participants login for Judging on the day of you can just tell them to hit the I'm Ready button and let zFairs handle the rest. Gone are the days of needing to schedule and assign judges to projects. zFairs will pair Entries and Participants with Judges until the Entries have been reviewed as many times as you would like.
We auto handle making sure the same judge doesn't score the same entry twice and, if configured for this, that judges only judge projects in the categories they've selected. You don't need to worry about no show Participants & Entries or No Show Judges as Auto Plop never sees those who aren't ready to judge or be judged. This is, hands down, the simplest way to run a Virtual Event's Judging.

77. Search Entries?
Should Judges be able to Search for an Entry in Online Judging?
Giving them access to search for entries in Online Judging means they can potentially score any entry they have access to and submit a rubric for that entry. The alternative is that Judges only see the entries they have been assigned.
There are a few different options for the type of search the judges might be allowed to do but the only one that doesn't give judges access to all entries for your event is Searching by Round. Searching by Round would limit them to only being able to see entries available in the round based on that round's filters.

Enabling this puts a See All Entries button on the Online Judging landing page that Judges can then click to see and search through all entries in your event. There are modified versions of this where Judges search by Category, Division or Round instead of searching on a list of All Entries.
We recommend limiting the available options as much as possible so as to not confuse anyone but feel free to enable and utilize as many as you feel would be beneficial for your event.

99. Hide Entries?
Should entries ever be Auto Hidden in Online Judging?
Auto hiding entries can lead to confusion when something isn't showing in the list that you or others believe should be but can also help act as a form of Count Down till the judging for the Round or Event is done. There are benefits both ways and the biggest hurdle is letting everyone know that entries will disappear from Online Judging so they don't think things are breaking as the event gets close to wrapping up.

105. Hide if Scored Enough Times?
Hide Entries if they've been Scored the Set Number of times?
Enabling this will cause entries in Online Judging to be auto hidden based on the configured number of times they should be scored for the round. When searching for entries this is measured against the Default Round. This only counts rubrics submitted so an entry may end up with more than the set number of rubrics if a Judge begins reviewing the Entry after the previous judge began reviewing it but prior to them finishing.
Please Be Aware that auto hiding Entries can be both helpful and confusing. Make sure that all Judges and Staff/Admin users understand when and why entries are hidden from Online Judging so they aren't caught off guard or confused by the behavior.

Please Be Aware that auto hiding Entries can be both helpful and confusing. Make sure that all Judges and Staff/Admin users understand when and why entries are hidden from Online Judging so they aren't caught off guard or confused by the behavior.

123. Allow Judges to Submit No Shows?
Do you want Judges to be able to indicate that the Participant was a No Show for the Interview?
This gives Judges a button at the bottom of the page that says No Show. When clicked the judges are asked to confirm their choice and then, if they confirm, the rubric is submitted is marked as a No Show and the score for the student for that Rubric Submission is defaulted to 0.
Please Be Aware if judges are not allowed to edit their submitted rubrics then you may encounter a scenario where the judge initially submits a no show but is later able to connect with the Participant and complete the interview. In these cases the No Show is not cleared out and takes precedence over any subsequent rubrics submitted by the same judge for the same entry (meaning the new score isn't counted). Staff & Admin users can review and remove No Show rubrics in the Judging Results Reviewer if it is later determined that the follow up interview will be permitted.

This is for the free version of that feature where you can have the Participants include up to Two Video URLs with their Entry. zFairs will then try to pull in and display those videos during scoring but the videos must be publicly available and viewable for us to do so. 196. Virtual?
Are your Judges interviewing Participants In Person, Virtually or a Hybrid of Both?
zFairs offers Virtual Interview rooms that can be turned on or off as needed without really impacting the other Online Judging features. If you need them they can be turned on at a moments notice and are easy to use. If you don't need them then there is no downside to turning off the Virtual Interview Rooms as you still retain all of the benefits of Online Judging in its entirety.
One thing to be aware of for Virtual Interview Rooms, if there is a potential for needing them then be sure to have your Participants upload all of their forms, paperwork and documentation to your zFairs site so they are easy to access for Judges. Even if there isn't a potential for needing Virtual Interview Rooms, we still recomend that most things be uploaded to the site for use in other areas such as your showcase.

211. Video Room Scrolling?
Allow the Video Room to Scroll with the page as Judges review the rubric?
There are two options for how the Virtual Interview Room video conference behaves when judges are using it and reviewing the rubric.
The first options, when this setting is disabled, forces the rubric and Entry Information to the right ~20% of the screen while the video room stays constant in the left ~80%. This is great for simple rubrics where not much or any of the Entry Information is needed as it leaves the focus on the ineraction between the Judge(s) and the Participant(s).
The second option, when this setting is enabled, places the Virtual Interview Room at the top of the page above the normal rubric view and as the Judge scrolls down it shrinks and moves to the left side of the screen. This provides a more balanced approach that allows judges to still easily see all of the Entry Information at full normal size while keeping a miniature view of the active speaker in view as the Judge peruses and scores the entry.
We recommend utilizing the balanced approach, enabling this setting, in most situations and for most events.

225. Enable Auto Plop?
Would you like to Enable Auto Plop?
Auto Plop is a new way to handle judging tailored to virtual events. Gone are the days of needing to schedule and assign judges to projects. When Auto Plop is enabled, you just need to adjust a few settings and then have judges and participants indicate when they are ready and we'll handle the rest. zFairs will pair Entries and Participants with Judges until the Entries have been reviewed as many times as you would like.
Please Keep In Mind how long your interivew times are set for as compared to how long your judging round will be and make sure you have enough judges to cover all of the needed interviews in the alotted time. For example, if you have 100 Entries, want each one judged four times and expect each interview & scoring to take 20 minutes, that equates out to 400 separate interview slots and a total time spent of ~134 cumulative hours in interviews. If you only have 10 Judges that is going to take a whopping 13.5 hours (with no breaks) to get it all done. That being said, if you have 50 judges you can get through those interviews in just over 2.5 hours and more judges would just speed it up even more.

Are Awards for your event based directly on Judge scores or do you use Caucusing to determine winners?
Most of our events assign awards based on Judge Scores and this is the route we typically recommend. That being said zFairs does have options for caucusing (often called Circles in zFairs) if wanted or needed. Please Be Aware - Caucusing is a more involved process for assigning awards and it will require at least some extra effort on your part to make sure that gets set up fully for your event.
Awards are based on...

246. Include Staff & Admin as Judges?
Do you want to include Staff & Admin users as Judges during Auto-Assign?
Auto-Assign is a feature specific to each round of Judging. If you enable this then applicable Staff & Admin users will be included in Auto-Assigning and receive a list of entries to review as if they were a judge. This is typically only used for smaller events where the number of judges is limited and you need to spread out the work load a little to fit all of the judging into a limited time frame. If you have enough Judges we recommend turning/leaving this feature off so that you can focus on running the event instead of needing to juggle extra things.

250. Special Award Judges?
Do you plan to utilize Special Award Judges to review and assign special awards?
Special Award Judges are a unique role in zFairs. They need many of the same tools as a regular Judge but don't always have a rubric they've shared with you that they are judging with. This means that having access to Online Judging, like other judges on your site, isn't needed or helpful for Special Award Judges and could potentially muddy the waters when it comes to calculating final scores if there is confusion about what they should or should not be doing.
If you aren't sure then we recommend skipping this for now and coming back to it later when you know one way or the other.
Also, we highly recommend you learn more about the unique Special Awards Judge special role by searching for Special Award Judges in Branches Search (the infobox icon in the bottom right of most pages).
