=== 3. Invention Convention ===

= Are you afiliated with The Henry Ford Invention Conventions? =

If you or an event you feed into is an affiliate with The Henry Ford Invention Conventions then we recommend you select Yes.

=== 4. Reflections ===
''Opens related settings / config group in the product.''

=== 6. Other ===

''Opens related settings / config group in the product.''

=== 7. Categories? ===

= Does your Event use Categories? =

Categories define the different areas or topics your Entries fall into. They can be as broad or as specific as you like and zFairs supports up to three layers of Categories via the use of Sub-Categories and Sub-Sub-Categories with each of them being configurable to apply to all Categories above them or specific to one.

NOTE: Categories are separate from divisions or grade / age related differentiators and should only cover the general topics of the entries. Divisions can be configured and used in conjunction with Categories for additional organizing options.

=== 8. Paperwork? ===

= Do you collect Paperwork or Forms from your Participants? =

Paperwork and Forms can be anything from Parent/Guardian Permission Slips to detailed and in depth forms needing appropriate signatures and data. If you want to collect a file(s) from participants and have the ability to review or assign others to review that file prior to approving the participant for judging then you should say yes to this question.

=== 9. Judged? ===

= Is your event Judged? =

=== 10. Showcase? ===

= Would you like to enable your Virtual Showcase? =

This feature is included with every zFairs License. It can be turned on/off at any time and access can be limited or opened up to whomever you choose. You also have control over what shows on the showcase, including being able to hide entire entries from the showcase if desired.

== ==

=== 11. Fees? ===

= Do you charge Participant Registration Fees? =

Fees can be assigned for each Participant registering or for each Entry being registered. If you have Team Entries, the first Participant to register and subsequently create the team entry will be charged the Entry Fee. Participants creating a duplicate entry will also be charged the Entry Fee and will need assistance from their Teacher or a Staff / Admin user to get linked up with the correct Entry and have the assigned fee removed.

=== 12. Late Fee? ===

= Do you charge Late Fees after a specified deadline? =

=== 13. Store? ===

= Would you like to sell items in a Store? =

Using zFairs means you always have a Digital Storefront at your fingertips. Store features include Coupons, Invoicing, Participant vs Non-Participant item filtering, Sizes, Attendance Fees and more.

=== 14. Card Parment? ===

= Do you want to accept Credit & Debit Card payments? =

Where you are planning on collecting fees and/or selling items in a store, accepting Card Payments makes things super easy.

There are two options for Card Payments, zFairs can collect them or you can create an account with Stripe and have the funds go straight to you after linking that account to your zFairs site.

* '''''zFairs''' - When we collect online payments on your behalf there is a 5% + $0.55 charge per transaction. To receive payment from zFairs, once your event is complete, please ensure that you fill out the Payee Tax Information form so we know to whom and where to send funds. Once that is done you can request the payout at any time and we will mail you a check via USPS.

=== 15. Users Type Selection ===

''Opens related settings / config group in the product.''

= Special User Roles =

The above are considered the standard or typical User Roles in zFairs but there are also other Special User Roles that can be assigned to almost any given user. A single registered user, so long as they aren't a Participant, can be assigned multiple Special User Roles as needed. ''NOTE: Only the Judge User Type can be given the Judge Captain special user role.''

* '''''District Coordinator''' - This special role gives the user access to all participants from an assigned district the same as if they were the participant's Teacher user. District Coordinators can also optionally be Teachers and have access to additional participants that are outside their district via their Teacher status. This special role is different from the other special roles in that it is a fully separate User Role that is assigned on the People page with the Change Role option and not via another method.

* '''''Interpreter''' - This special role gives the user access to the Proctor & Interpreter Waiting Room page (where they can see requests for assistance), an optional Waiting Room video conference room and additional meeting controls when inside of an interview room with Participants and/or Judges. Interpreters can also specify the language(s) they are translating for during the event.

* '''''Judge Captain''' - This special role gives Judges access to additional oversight tools for the category or judge circle they are over. They can also be given access to see Other Judge Scores within their category as well as assign category awards for their category.

* '''''Proctor''' - This special role gives the user access to the Proctor & Interpreter page (where they can see requests for assistance), an optional Waiting Room (Proctor & Interpreter video conference room) and additional meeting controls when inside of an interview room with Participants and/or Judges.

* '''''Special Award Judge''' - This special role gives the user the ability to access Special Awards Judge Scheduling where they can indicate available times for Participants to select from or request interviews with Participants during their unscheduled times in a given Event Session.

* '''''SRC/IRB''' - This special role gives the user access to the Paperwork Review process and the ability to see, review, reject or approve Participant paperwork and forms as well as potentially being able to mark Entries as Ready for Review or Approved for Judging.

=== 16. Content? ===

= Content Pages =

Content in zFairs refers to the editable information found on the various pages of your site. These include the Home or Landing pages as well as ones like the About Us, Day of the Fair, or Store pages. Feel free to click on one of the User Role home pages to edit each one or you can find all of them on the Settings page at any time by searching for "Content".

=== 17. Skip To Advanced Setup ===

== '''''Are you sure?''' ==

== This guide should only take maybe 5-10 minutes to complete. ==

Skipping to advanced setup will hide this First Time Setup guide and you will not be able to access it in the future.

=== 18. Invite Staff Users ===

= Don't go it alone =

Running an event by yourself can be difficult at best or downright impossible if the stars aren't aligned perfectly. Fortunately zFairs allows you to have as many Staff and/or Admin users as you need. These user types have more permissions than typical Volunteers, including the ability to see and manage all users, all user information, all judge scores and feedback, access all feature configurations, send bulk emails and give these same permissions to other users. In addition to these, Admin users can setup Credit or Debit card payments to be accepted directly through your event site.

Fill out the information here to invite someone to assist you with this Event

This page documents the '''Reports''' instructional flow in the zFairs setup assistant.

{{Note|Synced from Overseer instructional branch content. UI labels and menu paths can change; use product search if a button name differs.}}

== Overview ==

zFairs has a robust Report Viewer that allows you to run all sorts of data reports, and then export them as an Excel spreadsheet or a PDF. To access the Report Viewer, click on the Staff drop-down menu at the top of the page, and then click "Report Viewer". If you have used zFairs for previous events, you can also view reports from those events by clicking on the [Year] Contest Report Viewer options at the bottom of the Staff drop-down menu.

Once you have the Report Viewer open, skins give you the ability to customize reports after you generate them. You are able to sort columns, remove unwanted columns, or filter based on information in the report. To learn more about skins, click the button below! You can also click "Common Reports" button to see frequently used reports along with a description of what they show.

== Steps ==

=== 1. Common Reports ===

= Common Reports =

Here is a list of some common reports that many find helpful! If you have any other questions about reports, please reach out to us at Support@zfairs.com.

* '''"Details" Reports (Student Details Full, Judge's Detail, Detail - Teacher, Detail - Attendee, Detail - Volunteer)''': These reports will show everyone who has registered for an account in each role, along with all of the information they provided during registration.

* '''Online Judging Score Totals''': This report provides an easy way to see score totals from judging at a glance.

* '''Table Label''': Print out labels to go on the table with the Participant's Name, Project ID, and Category.

* '''Project Abstract''' Generate a pdf with each project's abstract on it's own page. Note: This will only show Abstracts that were entered in the "Project Abstract" field on the Entry tab of a Participant's profile, it will '''NOT''' show any Abstracts that were uploaded through paperwork.

* '''Full Awards Program''' After you have assigned all of your awards within zFairs, this report will show all of the awards that were assigned, and who received them.

=== 2. Skins ===

= Skins =

Skins allow you to create different versions of the same report. You can hide columns you don't want to see, re-order the columns, change the name of columns, choose a column to sort the report by, and add filters to only show specific data in the report. To create a skin, follow these steps:

* Open the Report Viewer and run the report you want to see.

* Click on the palette icon in the top-right next to the star.

* Click "+ New Skin"

* Enter a name for the Skin

Here is a description of what each of the columns mean when creating a skin:

* '''Visible''': To hide a column, uncheck the box next to the column you would like to hide on the report

* '''Display Name''': Changing this name will change the header of the column on the report

* '''Order''': This will change the order of the columns on the report. The column with the lowest number will show furthest to the left, and the highest will show furthest to the right.

* '''Sort''': This allows you to sort the entire report by a specific column. To sort by a column, choose either "Asc" or "Desc" in the sort column.

* '''Sort Order''': If you want to sort by multiple columns, you can decide which the order of columns it will sort by. For example, if you want to sort a report by school first, then by last name within the school, you would set the "School" column with sort order "1", then the "Last Name" column with sort order "2"

After you have made those changes, you can filter the report by a specific column by scrolling to the bottom of the page, and clicking "Add Filter". Add the parameters for the filter, and the report will only show lines that meet the requirements you set.

Save the skin, and you are ready to go! The next time you run the report, it will add a tab for the skin that you created.

You can also click the link below to watch a video that gives more information on skins.

'''Ready to refresh and reset your event?''' Here are a couple suggestions of how to have a successful refresh:
Wait until July 1 to refresh. We take snapshots of every event on July 1st. We have systems in place to restore events, but this just makes viewing your data reports easier.

It is always a good idea to take a quick look at what you have set up currently to make sure it meets your needs for the upcoming event.

If you have any questions don't hesitate to reach out by emailing '''Support@zFairs.com'''. Thank you for partnering with us! We look forward to assisting you with another awesome event.
Ideal for events that judges will go out and judge the projects, and then come back as a group to identify the awards.

== Steps ==

=== 1. Setup ===

Getting your event ready for judging can be very stressful, following this guide should greatly reduce that stress.

* Generate & Print '''Table Printouts''' report. This report generates a page for each entry, it is ordered by project Id. == Overview ==

= Renumber Entries =

Renumbering entries will re-assign project numbers to all projects, based on the Project Format ID you set below. zFairs will use this format when re-assigning Project IDs.

Click one of the options below to re-assign Entry Numbers. Here is the difference:

* Renumber: Re-assign Entry IDs based on the order entries were registered. This is helpful if you have removed Entries/Projects, so there are gaps in the Entry IDs.

* Randomize Entry Numbers: This will randomize the numbers included in Project IDs for all projects. It will not affect any other part of the Project ID. For example, if you have your Project IDs set up to use the format "Category Abbreviation - Grade - Number", the Category Abbreviation and Grade will not be affected, only the number. == Steps ==

=== 1. Renumber ===

Your entry/project ids have been reset and if you have entries they have been renumbered from the begining.

=== 2. Renumber Only Approved Entries ===

Your entry/project ids have been reset and if you have entries they have been renumbered from the begining.

Not approved entries have a default project id of {x}

=== 3. Randomize Entry Numbers ===

== Overview ==

Judge Captains have access to additional oversight tools for the category or judge circle they are over. They can also be given access to see Other Judge Scores within their category as well as assign category awards for their category.

To assign someone to be a Judge Captain, have them register as a Judge and then a Staff or Admin user needs to do one of the following:

* '''For Regular Judging'''

* Navigate to Judging -> Category Chairs / Captains

* For one or more of the Categories listed, click Add Captain

* Assign the Captain and Division as appropriate

* Click Save

* '''For Circle Judging'''

* Navigate to Judging -> Circle Setup & Management

* Navigate to Judge Groups

* Edit or Create a Judging Group

* Assign the Captain to the First Position in the Judge Group

Assigned Judge Captains will see their menu change to show Judging as a drop down instead of a single click Go to Online Judging. In that drop down they will find the additional tools you have enabled for them to view.

If you are a Judge Captain, you can click the buttons below for further instructions on the additional pages you have access to within zFairs.

== Steps ==

= Assign Awards =
As a Judge Captain, you will be able to assign awards to projects within the categories you are assigned. Here's how to assign the awards:

* Click on the Judging drop-down menu and open '''Assign Awards'''

== Overview ==

= Turn on video upload for your event! =

=== What is video upload? ===

The video upload feature in zFairs allows participants to upload video files directly to their zFairs profile. This means that participants will not need to save their videos on another platform (i.e. Google, OneDrive, Dropbox, etc.) and provide a link to them, which often leads to sharing permission issues, causing unnecessary frustration. For National History Day Events, you can allow participants in the Documentary and/or Performance category to upload their videos.

=== How is video upload used? ===

Once you enable video upload using the buttons below, a new field will appear on the "Entry" tab of participant profiles. This field allows for MP4 files up to 1 GB in size.
''

=== Use the buttons below to enable video upload for Documentaries, Performances, or both. ===

== Steps ==

This page documents the '''Custom Entry Types''' instructional flow in the zFairs setup assistant.

{{Note|Synced from Overseer instructional branch content. UI labels and menu paths can change; use product search if a button name differs.}}

== Overview ==

The Entry Types feature allows you to create different types of entries for your event. Each entry type you configure can have its own Project ID format, Description, Number of Allowed Entries of this type, Fee, Whether or Not Paperwork needs submitted, Whether or Not it uses the ISEF Wizard, Forms and Categories. This is the master on and off for this feature and Entry Type sub-features will not work if this config is disabled.

Entry Types is a unique feature in that it is either on or off and then all of the other sub-features for this feature are found inside other features, with the one exception of Allowing Multiple Entries.

The main things to be aware of are:

* '''''Entry Type Manager'''

* Start here once you've enabled this feature so you can set up and configure the Types of Entries participants are allowed to submit.

* This is found under the Staff menu dropdown when this feature is enabled. You will need to refresh the page to see it if you just recently turned on this feature.

* '''''Paperwork Manager'''

* This feature is separate from Entry Types but once Entry Types are enabled you can configure your forms to be specific to the entries you have configured. This will make it so that form only shows up for the applicable Entry Type and is hidden from other entry types.

* '''''Registration'''

* This is also a completely separate feature but once you have enabled Entry Types, Participants will see the options to submit the various entry types during registration.

* '''''Multiple Entries'''

* This is a sub-feature of Entry Types and allows participants to submit as many Entries of any given type based on what you have configured for those entries.

* When this is enabled, participants will have a different Entry Tab in their Profile where they will need to select which project they want to work with before they can then go in and edit the information for that project or upload paperwork for that project.

Custom Forms allow you to create unique paperwork flows for your users and specify what you want them to upload. Forms can be required or hidden based on answers to customizable questions, Grade Level, Category, or Entry Type. This feature is intended to improve on all previous paperwork management tools and will replace any previously used systems.
= zFairs has two kinds of awards, Category Awards and Special Awards. =

Read On to learn more about each one.

* '''''Category Awards''' - Think of these as First Place, Second Place, Third Place etc... Any one Entry can only receive a single Category Award and it is awarded within the Entry's Category. That being said you can assign multiple firsts even in the same category. If you do it this way you can think of them as more First Prize (instead of First Place), Second Prize, etc...

* '''''Special Awards''' - These are used to represent any and all other kinds of awards in zFairs. They can be a Best in Show award or awarded by an Outside Sponsor or Organization. You can assign as many special awards to any given Entry as you would like.
== Overview ==

= What are Quick Access Keys? =

Quick Access Keys are used to log in instead of a username/password. Once users are assigned a Quick Access Key, a link and QR code are created and connected to their account. By clicking the link or scanning the QR code, they will be signed into their account without needing to enter their username/password. After Quick Access Keys have been assigned, the link and QR code can be found for judges in the "Judge's Detail" report. The QR code will also be found on the Check-In page by clicking the icon next to their name. This is helpful on the day of your event as users are checking in, a staff member can open the QR code for them to scan, in case they have forgotten their username or password. You can also send their link through the Bulk Mailer. To send the link, include $SIGNINTOKEN$ in the email, and it will be replaced by their unique link.

In order to create Quick Access Keys, the following setting must be enabled.

=== Which event are you? ===

If you are needing to advance participants from your site to another site, please select '''Source Event'''.

If you are going to be receiving participants from another site into your site, please select '''Target Event'''.

== Steps ==

=== 1. Source Event ===

= Source Event =

Promoting Entries from one Event to the next is super easy. Click below to find step by step instructions and easy access to the various aspects of Promoting or Advancing Entries.

=== 2. Target Event ===

= Target Event =

Promoting Entries from one Event to the next is super easy. First, make sure the setting below is enabled. This will allow for participants to be promoted to your site.

Now, you can click below to find step by step instructions and easy access to the various aspects of receiving promoted entries.

=== 3. Promote Students ===

= Promoting Participants =

Follow these step by step instructions to have a sucessful experence with your promotion:

* Click the '''Next''' button below

* Select the '''Fair to Advance to''' from the dropdown list of linked events

* Select the '''Minimum Award to Advance''' (this just limits who will be included in the promotion if wanted. You'll be individually selecting who you want to promote in a future step)

* '''Map the Categories''' from Your Event (categories on the left) to the Categories in the linked event (categories in the dropdown)

* This is where it can get a little tricky if you don't use the same categories. Do the best you can and if you have questions you can reach out to the linked event's coordinator. They can also always adjust things on their end if needed but this can also be time consuming if it is needed for all the Students you promote

* '''Map the Custom Questions''' (many of these likely won't map over and that is perfectly fine but if something does line up then feel free to map it over)

* '''Check / Select''' all of the Students you would like to promote (this list will be reduced based on your previous selection in the Minimum Award to Advance field)

* Click '''Advance Selected Projects'''

=== 4. Back to Setup Wizards ===
